This Privacy Policy explains how Tecnots (“we”, “us”, or “our”) collects, uses, and protects personal information when you use Nia Meet, our AI-powered video meeting platform. By using the service, you agree to the practices described here.

2. Information We Collect

• Account information— your name, email address, password (stored as a hash), avatar, and workspace or organization membership.
• Meeting metadata— meeting titles, schedules, participant lists, join and leave times, and invitation details.
• Transcripts and summaries— when transcription is enabled, the spoken content of a meeting is transcribed, and AI-generated summaries, notes, and action items may be produced and stored for participants.
• Chat content and files— messages and files you send in meeting chat, group chats, and communities.
• Technical data— basic device and log information (such as browser type and IP address) used to operate, secure, and troubleshoot the service.

3. How We Use Information

We use this information to provide and operate the service (hosting meetings, generating transcripts and summaries, delivering chat and notifications), to secure accounts and prevent abuse, to respond to support requests, and to improve reliability and performance. We do not sell your personal information.

4. Service Providers

Nia Meet relies on a small number of infrastructure providers that process data on our behalf:

• Azure Communication Services— real-time audio, video, and calling infrastructure for meetings.
• Azure Speech— live speech-to-text used to generate meeting transcripts.
• Supabase— database and file storage hosting for account data, meeting records, transcripts, summaries, chat messages, and uploaded files.

These providers process data only as needed to deliver their part of the service and are bound by their own security and privacy commitments.

5. Cookies and Sessions

We use a session cookie to keep you signed in and to protect your account. This cookie is essential to the operation of the service. We do not use third-party advertising or tracking cookies.

6. Data Retention

We retain your account data, meeting records, transcripts, summaries, and chat content for as long as your account is active or as needed to provide the service. When you delete content, or when your account is deleted, we remove the associated data within a reasonable period, except where we must retain it to comply with legal obligations or resolve disputes.

7. Your Rights

You may request access to, correction of, or deletion of your personal information at any time by contacting support@tecnots.com. We will respond to verified requests within a reasonable timeframe and in accordance with applicable law.

8. Security

We use industry-standard safeguards to protect your data, including encryption in transit, hashed credentials, and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security; please use a strong, unique password.

9. Changes to this Policy

We may update this Privacy Policy from time to time. If we make material changes, we will take reasonable steps to notify you, such as by email or an in-app notice. The “Last updated” date above reflects the latest revision.
